Sailing Calendars - Tidying Up

Postby Nomad Zamani » Sun Apr 18, 2010 4:29 am

The sailing calendars are a bit of a mess at present, and I'd like to see what we can do to get things organised better.

At the moment, there are two aggregate calendars that I'm aware of: the new one that I made a few months ago, and the old one that is (I believe) managed by Nber. The problem with the old one is that there are several clubs who's entries are made directly in the calendar, and changes have to be made by getting in touch with a third party (Nber, possibly others).

My thinking is to aim for a structure where each club has its own calendar, and that each of these is linked to the aggregate calendar. This would mean that each club can manage their entries directly rather than having to go through a third party.

If your club has its own calendar, and would like it to be included in the aggregate calendar, please get in touch.

If your club does not currently have its own calendar, please consider making one and arranging for it to be linked. If your club currently has entries in the old aggregate calendar, they should be deleted once your calendar has been made and linked to the new aggregate calendar. (NYC is currently doing this - we have entries in the old calendar, as well as our own calendar. Since both are linked to the new calendar, our entries appear twice.)

I've updated the calendar page, which can be found here...

http://www.slsailing.net/calendar.php

The calendar can be viewed in agenda, weekly or monthly formats, and all three versions are now on the calendar page. The view of any particular calendar can be changed to any of the three types by clicking the appropriate link at the top-right of the calendar. Under each calendar is the HTML code used to generate that view - copy and paste the code into your web site to embed the calendar. Note that there is a version of the code that is specific to each view - the choice of HTML code determines the default view when your web page is accessed. So, pick the code that goes with your preferred default view.

Google no longer lets you search public calendars, so you cannot add them to your personal gmail account unless you know the secret codes.
So where you see "Add a friend's calendar" enter these email addresses (without the club's initials)
NYC gu7oe4vafe3ch46s3hvj7gnoe0@group.calendar.google.com
FIYC 2aiamnncv6im8ar9hfdjm99grk@group.calendar.google.com
GGYC dgbviip41sspeil6caap2kt7j8@group.calendar.google.com
SLSA 065j51i7rgaqkfv271073ts7lo@group.calendar.google.com
TYC oljtpfkhr57upfovvee6hi8d84@group.calendar.google.com

Thanks Chaos. I hadn't spotted that when I added GGYC. I had tried adding the web address of the GGYC calendar, but it didn't work. When Don added me to the list of people that his calendar is shared with, GGYC appeared in the aggregated calendar. I tried adding the calendar address, and I've been removed from the GGYC share list, and the calendar's events are still listed in the aggregated one.

Which means, folks...

If you want your calendar added to the aggregated calendar, all you have to do is tell me your calendar's address. To find this, go to your calendar in Google, pick Calendar Settings, and look for the Calendar Address section. Copy the address given in there.

No, Nomad; if it were populated, the posts would be redundant and confusing.
Now it's 'active,' I can migrate events to the correct calendar host locations.
Thank you.

I am VERY supportive of this effort on the part of Nomad, and I have told him that in our personal discussions. When sailing was small, it made sense to have one calendar, but as we have grown, it becomes increasing complex to have a single calendar. One problem with one calendar is that when I give people the right to edit events, they can edit ALL events. I never said anything at the time, but awhile back, the longest standing sailing event in Second Life, the 10 am SYC Sunday Regatta was deleted from the calendar. The deletion was fairly quickly discovered and corrected. (EDITED TO ADD): I doubt if anyone deleted this event on purpose, but with so many people able to edit the calendar, errors are BOUND to occur.

There may be some sailing events that will still stay on the SL Sailing calendar, but in general as folks develop their own calendars and those are aggregated to the overall calendar, individual's rights to edit events in the SL Sailing calendar will be removed.

If you know that you have that power and you wish NOW to be removed, please feel free to send me an email at nbermedici@gmail.com and I will remove you.

Thanks Nomad!!

Hi Don, I just checked the SL Sailing calendar and see some events of yours there. Do you mean your own calendar or are you meaning the SL Sailing Calendar?

edited to add: I just look at the GGYCSL calendar and your events are there.

Also, some events appear twice: in the SLSA Calendar and in private YC calendar with another color. I'd suggest to remove from the SL Sailing calendar ALL events that are also in the aggregated private calendar.

Also, could we agree that events in this agregated calendar, are sailing events only ? If you host social events (live concerts, party...) could you manage 2 separate calendars, one for social events, another one for sailing events, in order only sailing event are aggregated here? ty.

I don't have a problem with Yacht Clubs or Sailing Estates announcing non-sailing events on their calendar.
It should be up to each group to decide what information they think is appropriately shared here.

The risk is that with the increase in YCs, an agenda incorporating all kind of events may become unreadable, so unencumbered, and lead to the separation of one of the few things still shared. But I understand your point Jane, it is no surprise. A YC may manage different agendas for different topics.
A YC with lot of social activities, concerts, namely FIYC, has clearly shown the way in this direction and it works pretty well. Why not simply do the same?

Agreed, but a SL Sailing calendar, is a SL "Sailing" calendar...
It is so easy for you to share things in 2 different calendars, no more work, and to have your own "aggregated calendar" for your members. Sailing events may then be aggregated in the main SL Sailing agenda. Fancy may advice you to do that.
In my mind, the SL Sailing calendar is not intended to aggregate all the activities of Yacht Clubs or Sailing Estates, but sailing related activity.
If a club is used to enter each SL Birthday of all its members in its own "private" calendar, should all events appear in the calendar of the sailing community?
It takes 30 seconds to fix that with Google Cal.

The duplicate events are gradually being weeded out as each club establishes its own calendar. I'll contact Don to see if GGYC events in the old calendar are ready to be removed.

Regarding the type of events, I suppose it is ostensbly a sailing calendar, which implies sailing events like races, cruises, training - which further implies that stuff like social events shouldn't be listed. However, I think we have to take things one step at a time, and be mindful of the risk of the calendar structure in the large becoming too complicated. The current phase is to transition events out of the old calendar and into calendars owned and managed by each club. I think it's okay for clubs to list social events and the like in their own calendars. Whether or not this should change later kinda depends on what direction the calendar 'system' takes once the old calendar has been phased out and each club has their own.
